Today I have a tip and then we will get back into the series on Monday.

Time Management Tip for Avon Representatives

Work in bigger chunks

Every time you're interrupted or you change from one task to another, you need 10 or 15 minutes to get back into flow. Limit interruptions as much as possible. Turn off your automatic email checker and use caller ID to decide if you want to answer the phone.

What do you think of the new design? Is it easy to get around my Avon Representative blog? Comment in the right side-bar.

What That Mad Avon Lady Is Doing In March 2011--Updated With 1 More Goal

It's the end of the Avon year and it's time to review your Avon Representative goals. I actually teach you should take 15 minutes a day to review and revise your goals. It's really easy to do this when you are making your to-do list for the day and updating your schedule.

Remember business and personal goals should be relevant, have a call-to-action or step-by-step action plan of smaller goals to achieve the larger goal. You must give your goals a time frame to make them achievable. By setting goals you give yourself motivation to follow through and complete them.

In addition, goals need to be focused and consistent, make sure they do not contradict each other. Your goals should give you a clear statement on "who I am" and "what I can do".  Goals should reviewed everyday.

I have up-dated my goals below. I made head way on most of my goals. However, I never started commenting on other blogs, I guess due to the fact that I'm shy and feel unsure about what to say. And I have decided not to join Linkedin. I heard that it is best to focus on around 5 social media sites and I am using facebook, twitter, digg, reddit and stumbleupon.

I have not had a chance to fill out postcards and my friend/helper has not had a chance to do so either lately. I have gained only a few new customers. I plan to give my friend more incentive to fill them out for me and I will try to mail a 100 a week.

I am currently getting ready to launch 2 new blogs for business women, "Goal Setting for Business Women" and "Time Management for Smart Business Women," on April 15. I am also offering free coaching/consulting this week on this blog if any needs help with anything Avon, setting their goals and/or work on their time management skills.

Goals of Angie's Avon

Goal for The Year: Grow by 56% to achieve Honor Society by end of 4th quarter 2012 .

3 Month Goals

Prospect for recruits to have a downline by tailgating with my upline.

Gain 1 to 2 customers every campaign/two weeks by mailing out a 100 postcards a each week.

Social Media Strategy Campaign

Promote blogs by continuing to build links, use seo methods, submit posts as articles to free article directories, and submit blogs to blog directories and search engines.

Get repeat visitors to my websites and social media sites by networking and growing content.

Start to comment on other authoritative blogs and articles to foster relationship building.

Continue to work my plan to launch 2 new blogs on goal setting and time management for business women on April 15, 2001 by researching keywords and writing posts with seo consideration.

Offer free coaching/consulting to Avon Repesentatives and then businesswomen to see if I can help people and then begin to charge for my services.

Continue to write and submit articles that are insightful and show knowledge leadership. Going to outsource submitting of article since so cheap and they can submit to 100 article directories.

                      Offline Marketing

Place What's New bags with books for each campaign on bulletin board at IGA every few days.

Continue to give out free samples, trial sizes and "Try-Avon-On-Me" baggies.

Continue to put free and discounted magazines with my labels in waiting rooms of doctors, dentist, car dealerships, mechanics shops, ect.

Continue to send out birthday cards and thank you card with gift to give customers incentive to be a repeat buyer.

Fill out and mail 100 postcard/coupons a week.

This is a outline and will be reviewed and revised everyday.

What Avon Representatives Can Learn From President Eisenhower

This is the 4th post in the series a Time Management System for Avon
Representatives. Here I will cover the Eisenhower Matrix and how to prioritize your tasks.

The Eisenhower Matrix is one of the simplest tools that a Avon Representative can use to quickly improve their time management skills. Although this method was made popular by Stephen Covey in his book "First Things First", the concept is originally credited to US President Dwight D. Eisenhower, who stated;

"What is important is seldom urgent and what is urgent is seldom important."

The method is sometimes called the "Urgent/ Important Matrix". The Eisenhower Matrix can guide a Avon Representative through a process of classifying tasks according to urgency and importance. And identifying where to schedule your tasks within your day and helping you to straighten out your priorities.

Eisenhower was a busy man. Whenever confronted with a new task or project, he would ask himself two questions. First "is the task important?" Second "is the task urgent?".

Based on these two questions, the task would end up in one of four categories:

      Urgent and Important--the kitchen
          catching fire, an appointment,
          a baby crying

      Not Urgent and Important--doing
           exercise, ong term planning,
           working on a project

      Urgent and Not Important--interruptions,
           facebook updates, distractions

       Not Urgent and Not Important--activities
            that waste time, procrastination, busy
            work

There are real emergencies and deadlines in the Avon Representative's world, but these are also a lot of interruptions, distractions or trivial waste of time. The Eisenhower Matrix encourages you to consider which tasks such as; long-term planning, preventative maintenance, and skill development fit into your larger business and personal goals.

It also helps you decide when to make time for your tasks. Planning and preparation are key to the Time Management System for Avon Representatives. And in the end, an above average life.

When we talk about "important" things, we often confuse them with urgent things. As a general rule:

  • Important things are important, regardless of when they are done. However, they absolutely need to be done.

  • Urgent things need to be done in a time period that is short.

In addition, tasks can be urgent and important at the same time. Or one of them. Or be neither of them. If important things are delayed for too long, they can become urgent.

  • Importance is related to how relevant a task is to your goals.

  • Urgency is related to how much time is available to act upon the task.

This method doesn't go much deeper than asking "what is important?" and "what is urgent?". Which is appropriate, because for a Avon Representative to exercise effective time management they have to decide what to do. When to do it. And how soon to get started.

Spending to much time over analyzing the importance or urgency of an activity can simply mean that it is not that important or urgent at all.

The idea of the Eisenhower Matrix is that you should list all of your tasks and put them into a matrix using the following definitions:

Important---tasks to do that will lead you to your goals and support your values.

Urgent---tasks you have to do as soon as possible. Most often done for others. Which do not necessarily support your goals.

The point of putting tasks into a matrix is to make sure you schedule for the important tasks. If you are like most people, you tend to focus only on the urgent. Which will not help you reach your goals.

Another thing worth mentioning here is that many of the tasks that are urgent have simply grown into this urgency by being postponed for too long. It is a fact that the act of postponing things is itself a barrier for reaching your goals. Simply because when tasks become urgent they draw attention away from the important tasks.

If a Avon Representative organizes their working timne with reference to the Eisenhower method, they will learn to distinguish the important from the urgent. And to act appropriately. Ask yourself about everything you have to do and place them into the following diagram:

How this method will help the Avon Representative

The Eisenhower Matrix is a very powerful way of thing about priorities. Using it helps overcome the natural tendency to focus on urgent activities. So that you can keep enough time clear to focus on what's really important. This method helps you move into a position where you can grow your business and in your personal life.

When consciously filtering all incoming distractions based on their importance, you end up doing less of the not important things. Thus becoming more productive in your work.

The Important and Not Urgent box is where you want to spend most of your time. For example, exerxcising, working on projects, plannning, ect. It's a peaceful place to be. And you will also have enough time to finish these tasks.

Achieving this is not hard. First, only do tasks that are important. Second, plan ahead. If you look ahead and take control of the way you spend your time, you can finish all your tasks before that becomne urgent. This way you will become more focused and bcomme more productive in all the things you need to do to achieve your goals.

Applying this simple method described here will not only help you become a more effective business owner, but also bring you closer to efficient time management.

In the next post on my Time Mangement System for Avon Representatives I will discuss the 80/20 Rule and how you can produce more results by doing less.

What Are You Doing With Your Day Avon Representative? A Time Management Activity

Being a Avon Representative and having your own business can be a around the clock job, unless you can outsource work. When I started my blog, ‘Diary Of A Mad Avon Lady”, I want to start scheduling my time in order to see where I can improve my efforts and save time. I researched, found some information and devised an activity to see where I am spending my time. I am asking you to do this activity, and starting Monday I am doing a series of post on time management.

What A Avon Representative Needs To Do:

Determine how you spend a "typical" 24- hour day

Starting on monday, keep track of how much time you spend a on your activities. Write down your activities on paper and enter the hours or parts of hours next to them. Make sure it totals 24 hours!

Don't be worry if you have to go back and change time spent on each activity. Do this for each day for one week.

Be sure to look at a clock when are starting an activity and ending one, it might help to write down the time.

Here is a list of activities you may do in a day, add to the list if needed.

Sleeping
Researching
Selling
Email
Downline
Prospecting
Social Media
Reading
Surfing Net (fun)
Errands
Exercise/sports
Family commitments
Personal care/grooming
Meal preparation/eating/clean-up

House Keeping
Transportation (school, work, etc.)
Relaxing/TV/video games, etc. (alone)
Socializing/entertainment (with friends)
Other

At the end of the week:

Review how you spent each day. What did you find? Is there a pattern?

:

What I Found I Was Doing

I have found keeping track of your daily activities is an eye-opener and is allowing me to see where I am getting bored and losing interest. Instead of working, I am fooling around surfing the net.

It is also showing how I can go for long periods of time working non-stop or go for long periods of time not being able to bring myself to work.

Try this exercise yourself for one week and let me know what you find.

Check back Feb. 14  for a series of posts on time management.
